Field Services - Voice AI Job Capture & Administrative Transformation
A leading landscaping and environmental services company in New Zealand partnered with ELab to address a critical bottleneck: managers spending up to 80% of their time on admin instead of field leadership. Only 50% of job sheets were being submitted - an 8-year declining trend - leading to significant revenue leakage. Through a voice AI proof of concept and comprehensive discovery, we validated an approach that achieved strong initial adoption and mapped a three-year transformation roadmap.
Industry: Field Services | Duration: 3 months | Region: New Zealand
This landscaping and environmental services company was trapped in a "zombie middle ground" between paper and digital processes, with neither functioning effectively. Managers were spending ~80% of their capacity on data entry and paperwork rather than field leadership. Only half of job sheets were properly submitted, and materials weren't always being applied at correct rates - staff relied on "tank estimates" rather than precise data.
The result: estimated revenue leakage of ~$80,000 annually from unrecorded work, fewer than 10 near-miss reports per year creating contract risk with major infrastructure clients, and a growing gap between how the business operated and how it needed to operate to support its growth ambitions.
What We Did
Operational Discovery
We conducted an AI fundamentals workshop and deep operational discovery across sales, field operations, maintenance, and reporting workflows. This identified 12+ automation opportunities, prioritised by impact and feasibility.
Voice AI Proof of Concept
The centrepiece: a voice-enabled job sheet capture system designed for the field workforce. Field staff record job information verbally at completion, and AI structures the data and delivers it to the admin team. The system prompts for required fields, flags missing information, and automatically checks for variances of more than 15% between planned and actual application.
Voice was the key design choice - field workers prefer speaking to typing, especially with dirty hands and outdoor conditions. This approach overcame the barriers that had defeated previous technology attempts over 8 years.
AI Platform Deployment
We configured AI accounts with document management integration for the office team, delivering immediate productivity gains of 2-3 hours per week per person.
Results
| Metric | Result |
|---|---|
| Automation opportunities identified | 12+ mapped and prioritised |
| Voice AI pilot adoption | Strong initial adoption |
| Office staff productivity gain | 2-3 hours/week per person |
| Revenue leakage quantified | ~$80,000 annually |
| Three-year projected net return | ~$1.3M from full implementation |
The pilot validated the voice AI approach and established a foundation for full operational transformation. The three-year roadmap targets admin reduction across the management team, improved job sheet submission rates, material reconciliation automation, and AI-assisted estimating.
